Required Skills:

One year of experience in a nonprofit environment.
Preferred: Bachelor's degree or 2 years of experience in customer service or working with volunteers.
Proficiency in Microsoft Office Suite
Demonstrated experience with CRM or relational database recordkeeping (Bloomerang preferred)
Ability to undergo and pass a background study as detailed in Minnesota Statute 144.057 and Chapter 245C.

Job Description:
Program Dept.: Advancement: non-exempt

The Data and Volunteer Resources Specialist supports Clare Housing’s mission by managing the flow of donation documentation from beginning to end, recruiting and coordinating volunteers, and ensuring the integrity of the organization’s volunteer, donor and donation data. This position has a key role in supporting meaningful connections and relationships with donors, volunteers and other stakeholders.

This is a full-time position (40 hours per week.) Starting pay is $21.50 - $23.64. Schedule is typically workdays Monday – Friday, with some evening and weekend hours based on volunteer coordination or event activities. Flex time will be offered to offset hours outside of the typical work week. Benefits include dental, vision, up to 4% match of 403B retirement fund, free virtual doctor visits and counseling, and paid sick time. This position will work closely with a team of dedicated fundraising professionals and direct service program staff to advance the health and housing stability of people living with HIV.



III. Core Job Functions:



Donor Database Administration
Enter accurate donation information into the donor database on a weekly basis.
Prepare acknowledgement letters and other donor correspondence each week to ensure a positive giving experience for donors.
Monitor multiple third-party donation platforms weekly for contributions.
Maintain and update donor files; create monthly and ad hoc reports.
Reconcile donation data on a monthly basis with finance staff.
Coordinate list segmentation for fundraising appeal letters and emails.
In partnership with the Director of Advancement, develop and implement data entry standards and protocols to ensure integrity of the donor database.


Volunteer Resources
Overall manage and lead the growth of the Volunteer Program at Clare Housing, helping us incorporate volunteers at multiple levels in order to better carry out our mission and meet client needs.
Develop and implement volunteer procedures and policies in alignment with organizational policies and best practices.
In consultation with the administrative and program staff, identify and develop volunteer projects that advance the organization.
Plan and implement strategic volunteer recruitment activities and volunteer orientation and onboarding procedures.
Respond to inquiries from prospective and current volunteers via email or phone.
Recruit, interview, place and schedule individual volunteers and volunteer groups.
Promote volunteer opportunities through churches, schools, community organizations, businesses and other channels.
Develop formal and informal opportunities to recognize volunteers, resulting in high retention rates for volunteers year-over-year.
Collect data and compile monthly statistics on volunteer hours and activities.
Collect ongoing formal and informal feedback from volunteers on their experience and develop improvement action plans based on feedback.
Establish and implement volunteer policies and procedures in compliance with organizational policies and best practices.
Consult with program staff to identify in-kind donation needs throughout the year, compiling the information to share with donors.
Monitor in-kind donation inventory.
Assist volunteers and donors in planning and assembling in-kind items, such as welcome baskets.
In partnership with the Communications Manager, coordinate and maintain a charitable gift registry for in-kind donation needs.
