About the Job



The Department of Psychiatry & Behavioral Sciences has an exciting opportunity for a Division Administrator in Adult Mental Health (Admin Consultant/Analyst 1) to join our team.

The Division Administrator works alongside department leadership in developing and managing the clinical, research, and education operational strategic plan for the Division of Adult Mental Health (AMH) in the department. This individual will work in a team that includes the Division Head of AMH, the Mental Health and Addiction Services service line, the Division Administrator for Child and Adolescent Mental Health, the Department Administrator, physicians, psychologists, social science, and administrative leadership groups across multiple related services/programs to clarify priorities and develop detailed tactical plans to meet objectives for the AMH Division programs and quality improvement. The person in this role will identify needs, analyze data to identify underlying causes and build collaboration to implement changes.

Job Duties/Responsibilities:

Data analysis and project management: 45%
* Lead the strategic and tactical planning process, working with large and small leadership groups to gain input and achieve consensus on plans.
Gather information from key internal stakeholders, referring physicians, purchasers, and others to create a broad perspective for developing strategic plans to meet the Adult Mental Health (AMH) Division's needs.
Access, visualize, and manipulate data from multiple sources. For example, the sources can be survey data, human resources information, grant funding, or clinical data bright together to understand the work.
Build relationships with partners to gain their confidence and engagement in the strategic and tactical planning process.
* Determine and implement innovative solutions that support clinical, research, and education quality and strategic operations initiatives
* Remove barriers for a team of collaborators to coordinate projects and deliver high-quality work products.
* Manage multiple concurrent projects within the Department and prioritize time and resources accordingly.
* Lead ad-hoc projects and analyses for the senior leadership team
* Coordinate finance, quality, marketing, and communication resources to support the information needed for plan development and implementation.
* Develop and present strategic and tactical planning presentation documents and work plans to implement key strategies.
* Manage the process to ensure planning is completed according to agreed-upon timelines.
* Lead the administrative aspects of AMH Division meetings, such as Clinical Operations, research teams, and strategic project meetings.

Communication: 25%
* Work with formal and informal leadership to build support and implement plans
* Coordinate patient and staff-facing tools for conveying messages effectively and efficiently
* Develop with Division and Department leadership tools to support reporting and management of work activities
* Manage existing processes between the Divisions
Financial analysis and modeling: 25%
* Analyzes alternative models in service line plans and analyzes sensitivities concerning clinical outcomes.
* Demonstrates effective stewardship of limited resources.
* Demonstrates ongoing fiscal responsiveness within and outside the areas of responsibility.
* Assists others in understanding the financial requirements of operational strategies
* Includes operations and department leadership in modeling and planning for the integrity of the analysis
* Helps others understand and respond to MHealth Fairview financial plans, targets, priorities, and challenges.
* Demonstrated leadership ability through relationship development and communication with key stakeholders

Risk Management: 5%
* Identifies areas of potential risk and develops plans with Division programs to mitigate and prevent concerns
* Collaborates with leadership and operations to build and maintain productive relationships

Qualifications



Required Qualifications:
* Bachelor's degree with at least 6 years of related experience
* Excellent written and verbal communication skills
* Demonstrated ability to work independently and as part of a team with colleagues of varied backgrounds
* A minimum of 2 years experience leading performance improvement efforts in healthcare organizations
* Demonstrated understanding of financial analysis, process mapping, and results reporting

Preferred Qualifications:
* Master's degree in healthcare or business-related field
* Operational knowledge of inpatient and outpatient behavioral health services
* Experience in change management
* Background and abilities in data management, including analysis, data visualization, modeling, decision-making, and forecasting.
