About the Job



Job Duties/Responsibilities:
Overview
This position is responsible for coordinating the Child Neurology Residency, managing trainees across five years including pediatrics, adult neurology, and child neurology. As a new program, this role will be instrumental in helping create foundational policies, procedures, and operational best practices. The person in this role will also serve as the associate adult neurology residency coordinator, supporting its operations and compliance.

Child Neurology Residency Coordination (60%)
- Maintenance of Accreditation
o Understand ACGME accreditation requirements.
o Manage WebADS including the procurement and reporting of data.
o Implement ACGME-required procedures to ensure compliance with regulations.
o Ensure compliance with institutional policies, including data reporting, eligibility, and other relevant policies.
o Ensure RMS is accurate; liaise with MMCGME to ensure financial, personnel, and scheduling systems are appropriately used.

- Policy and Procedure Development
o Maintain program policy manuals in compliance with GME requirements.
o Coordinate with the adult residency program and fellowships to ensure all ACGME requirements for policies are documented and in alignment.

- Budget and Financial Coordination
o Monitor and maintain RMS block schedules and rotation protocols, and analyze for agreement with FTE budgets in coordination with the Education Manager.

- Human Resources
o Process trainee onboarding and offboarding in compliance with GME policy and procedure.
o Coordinate with outside institutions to manage trainee onboarding.
o Manage trainee leaves of absence with GME and HR.
o Monitor vacation and time away usage.
o Coordinate J-1 visas in conjunction with GME.

- Coordinate and monitor training permits, licenses, and board certification requirement reporting through ABPN PreCert.

- Recruitment
o Submit annual surveys (FREIDA).
o Monitor, update, and maintain online recruitment systems including the NRMP and ERAS

- Ensure program compliance with all Match policies and procedures.
o Coordinate interview days in concert with pediatrics residency
o Collaborate with Adult Residency Coordinator and Education Manager to create and staff recruitment events.

- Curriculum Development and Trainee Assessment
o Create and maintain curriculum documents, goals, objectives, and schedule templates.
o In conjunction with pediatrics, create orientation schedules, handbooks, and bootcamp schedules as needed to ensure a smooth transition to training.
o Create and/or maintain assessment systems and processes, leveraging technology.
o Ensure curriculum, rotations, and feedback/assessment processes comply with ACGME requirements.
o Support conferences and didactic sessions, and support the Program Director and Chief residents in curriculum scheduling and development.

- Communications
o Create and distribute program information for recruitment purposes
o Maintain professional, timely, and confidential communications with program stakeholders.
o Help maintain and develop Child and Adult Neurology Canvas Pages, intranet, external facing websites.
o Cultivate social media presence for Child Neurology program.

- Scheduling
o Maintain block schedule in RMS and rotation protocols for CMS reimbursement.
o Coordinate didactic conference schedule and speakers as needed.
o Monitor vacation, CME, and personal time for trainees to ensure compliance with policy and applicable board requirements.
o Liaise with rotation sites, the department of pediatrics, and the adult neurology residency program to create block schedules.
o Ensure trainees complete all ACGME and ABPN requirements and support pursuit of elective rotations for career discernment.

- Professional Development
o Attend meetings and conferences for coordinators with our institutional partners.
o Learn and implement technological and innovative solutions to problems using RMS, Google Suite, Qualtrics, Microsoft Office, Canvas, Drupal, Adobe, SmartSheets, and others as appropriate.

Neurology Residency Associate Coordinator (40%)
- Support and coordinate conferences, meal ordering, meeting scheduling, supply ordering, etc. as needed.
- Support Education Team with events such as graduation, recruitment, symposia, proctoring, etc.
- Support the adult neurology residency coordinator with evaluation systems, data collection, and reporting as needed.
- Support and help coordinate adult neurology residency recruitment days.
- Provide scheduling maintenance and assistance for block and rotation schedules, including RMS data management in RMS, communication with rotation sites, and assistance with time away tracking.
- Attend Residency Leadership Meetings.
This position will work 100% on campus.

Qualifications



All required qualifications must be documented on application materials
Required Qualifications:
- BA/BS or combination of education and related work experience to total four years
- Attention to detail - ability to identify errors and problem solve
- Self-motivated and strategic thinker - identifies gaps and proposes solutions
- Demonstrated experience working independently to manage workload and meet deadlines
- Microsoft Office skills experience to include Microsoft Word, Excel, and PowerPoint
- Google applications experience such as Calendar, Sheets, Docs, Drive
- Experience either in education or in a clinical setting
- Demonstrated ability to communicate professionally and with discretion, both in writing and verbally.
- Demonstrated ability to foster an inclusive environment and work with respectfully people from diverse backgrounds

Preferred Qualifications:
- Experience in curriculum development, medical education, and/or higher education
- Familiarity with University policies and procedures
- Knowledge of current GME policies and ACGME requirements
- Experience with educational software such as Canvas, New Innovations, MedHub, etc.
