ESSENTIAL KNOWLEDGE AND QUALIFICATIONS
• Administrative experience required. Theater experience and/or legal experience is a plus. AEA, SDC, and USA collective bargaining agreements knowledge and experience is also a plus.
• Proficient with Microsoft Office 365 (Outlook, Word, Excel, and Power Point) and Google Docs. Experience with Microsoft Teams is a plus.
• Experience exercising professional discretion and confidentiality.
• Skill in writing, proof-reading, and editing to send out error-free communication.
• Skill in time management and planning to handle multiple demands.
• Experience with and commitment to working with diverse groups in terms of gender expression, race, sexual orientation, religion, ability, age, class, and immigrant status.

THE POSITION
The General Management Assistant supports the General Manager and the Guthrie’s administrative and artistic operations by drafting, tracking, and implementing contracts and invoices for payment; providing information and answering questions for colleagues; and providing backup for key administrative functions. This position is part-time and non-exempt. Compensation for this position is $20.32 – $25.45 per hour. Hours are reflective of the dynamic schedule of the theater, but your typical schedule would be working 20-25 hours per week, daytime hours from Tuesday – Friday.

PRIMARY DUTIES AND RESPONSIBILITIES
1. Contracts
• Assist the General Manager in director/designer/actor and other creative team contracting, and track correspondence with agents regarding agreements.
• Accurately and quickly process contracts for season programming and timely payments.
• Assist in play title licensing and reconciliation.
• Assist in the processing and tracking of new play commissions and workshops.
• Maintain accurate records for all AEA, SDC and USA health, pension, and media payments.
• Assist in reporting to AEA, SDC and USA.

2. Rental inquiry Assistance
• Assist Events Production Manager with review of rental inquiries.
• Review appropriate calendars and space availability to accommodate inquiry requirements.
• Respond and provide details to inquiries in a timely manner.
• Create and maintain inquiry and response tracking system.
• Facilitate handoff of viable potential rentals to Events Production Manager with necessary details and documentation.

3. Administration
• Assist General Manager in reconciliation of all programming and events.
• Process a wide variety of invoices accurately and quickly.
• File and maintain departmental records as they relate to all contracting.
• Collaborate with or assist General Manager in coordinating rental and catering needs with the operations of the theaters.
• Collaborate with the Facilities team to coordinate the needs for special requests.
• Serve as backup to Senior Team Executive Assistants as needed.
• Complete special projects and provide backup to the General Manager.
