Responsibilities
The Corporate/Regional Office Receptionist provides onsite administrative support of the day-to-day management and maintenance of the Corporate/Regional Offices. This role plays a key role in supporting office through greeting guests, call support, sorting mail, assisting with badge access and the building’s security system, conference room coordination and AV support, stocking refreshments, support travel and expense arrangements, coordinating office facilities maintenance, and other activities related to being the first point of contact at our Corporate/Regional Offices.
Accountabilities / Responsibilities
The Corporate/Regional Office Receptionist performs a variety of administrative and executive support-related tasks with our Corporate/Regional Offices. The duties of the Corporate/Regional Office Receptionist include supporting multiple business leaders, assistance with daily office needs, and hosting visitors in the general administrative offices. Will work in concert with Executive Assistants and Administrative Assistants to support the office location.
Receptionist Responsibilities:
- Presence at the reception desk is a priority.
- Greet guests and notify SCA Health teammates of their arrival.
- Screen calls, take messages and return phone calls, as appropriate.
- Listen to and return any calls left on the answering machine overnight.
- Retrieve mail from mail room, sort, and place / scan mail accordingly.
- Sign for packages and notify recipients of their arrival. Receive all UPS / FedEx deliveries. (be able to lift 25lbs boxes)
- Maintain clean and tidy common areas.
- Verify vendor and visitor sign in
Additional Duties:
- Check break rooms for supplies and tidiness. This includes replenishing utensils in drawers and paper goods in cabinets. Coffee / tea is restocked and reordered as needed.
- Keep drink refrigerator stocked for meetings.
- Check the copiers are working properly and make sure there is a good supply of copy paper on hand.
- Assisting office manager with mail room; ordering supplies and UPS shipping.
- Assisting other Departments with scanning, filing, shipping, etc. as needed.
- Assists with creating badges for new hires and coordinates with building security for additional access needs.
- Help with reserving conference rooms when needed and setting up / cleanup for meetings.
- Make sure all conference rooms look neat with chairs pushed in and whiteboards clean.
- Triage A/V support needs for conference rooms and offices.
- Acts as direct point of contact for building maintenance and/or housekeeping needs and escalates issues to Office Manager
- Partners with Executive/Administrative Assistants in running the day-to-day office functions, (i.e. scheduling cleaners, painters, repair companies, building management, answer phones when other receptionists are on vacation, ordering supplies for Corporate/Regional office, printer copier triage, etc.)
- Supports Executive Assistants with travel and expense report duties.
- May support a Senior Leader with additional administrative needs.
- Engaged with senior SCA Health leadership to ensure their significant SCA Health office location receives communications regarding changes in access, parking, building construction and maintenance, visitor movements, site-wide activities, etc.
- Other duties as assigned.

Qualifications
- High school diploma or equivalent
- Basic computer skills: primarily MS Office, Outlook, PowerPoint, ZOOM, Teams, office telephone and audio visual equipment
- Strong communication skills
- Professional appearance
- Two years of previous clerical experience is preferred
- Bilingual preferred
