    Job Description:

    Robert Half is seeking an experienced and detail-oriented Senior Payroll Specialist for a contract position in Palo Alto, CA. This role is ideal for a payroll professional who thrives in a fast-paced environment, is committed to accuracy and compliance, and has proven expertise in managing hourly and salary payroll processes for a 100 employee corporation that is rapidly growing. As a Senior Payroll Specialist, you'll play a critical role in ensuring the seamless execution of payroll operations and supporting the broader HR and finance team functions.


    Key Responsibilities:

    • Process full-cycle payroll for salaried, hourly, and contract employees in compliance with local, state, and federal regulations.
    • Accurately manage and review payroll, including timekeeping, bonuses, commissions, deductions, garnishments, and tax withholdings.
    • Collaborate with HR to ensure payroll changes (new hires, terminations, promotions, benefit deductions) are processed correctly and timely.
    • Conduct payroll audits and reconciliations, ensuring accuracy and identifying/rectifying discrepancies or errors.
    • Prepare, file, and reconcile payroll tax filings while ensuring compliance with federal, state, and local regulations.
    • Respond to employee inquiries regarding payroll issues, tax forms, and direct deposits with professionalism and efficiency.
    • Support month-end and year-end close processes related to payroll, including W-2, 1099, and other relevant reporting.
    • Maintain payroll records and systems to ensure data security, accuracy, and compliance.
    • Develop and document payroll processes and controls to improve efficiency and accuracy.
    • Stay current on payroll laws, regulations, and system updates, ensuring the organization remains compliant.

    Qualifications:

    • Experience: At least 5+ years of payroll experience in a tech or start-up environment.
    • Education: Bachelor’s degree in Accounting, Finance, or related field is heavily preferred but not required.
    • Software: Expertise in payroll software (Dayforce, Gusto, Rippling, ADP, Workday etc.) and advanced proficiency with Excel (pivot tables, VLOOKUPs, etc.).
    • Knowledge: Strong understanding of federal and state payroll tax laws, with previous experience managing compliance in California.
    • Skills: Excellent analytical and problem-solving skills with exceptional attention to detail.
    • Communication: Strong written and verbal communication skills with the ability to address employee inquiries, communicate to stakeholders and collaborate cross-functionally.
    • Nice to have: CPP (Certified Payroll Professional) designation is preferred but not required.
