Job Summary:

The Document Controller will be an integral part of Nexus Engineering Group, positioned directly within the refinery environment to support the document control team. The role's primary purpose is to manage and ensure the integrity of engineering documents, using CAD systems, throughout the project lifecycle. The Document Controller will facilitate efficient document handling and control to meet the requirements of various stakeholders, including engineering, construction, and operations teams within the refinery.

Accountabilities:

  • Maintaining and enforcing the document management system's processes and procedures to ensure information accuracy and security.
  • Keeping a thorough audit trail of all engineering documents and drawings.
  • Ensuring all CAD drawings and documents are up to date and correctly stored in line with company and refinery standards.
  • Collaborating with different departments to confirm that all technical documents such as drawings, reports, and specifications are collected, distributed, and stored.
  • Providing full document control support to the project teams, ensuring prompt distribution of documents to internal and external stakeholders.

Responsibilities:

  • Oversee the daily management of documents using CAD and document management systems to register documents, maintain databases, and produce logs/reports.
  • Process incoming and outgoing documents including revision control, distribution, and ensuring approval/sign-offs.
  • Liaise with engineers, contractors, and operations staff to ensure documents are kept current and are comprehensively archived and easily retrievable.
  • Train and support team members in document control procedures and CAD system use.
  • Implement and monitor compliance with Nexus Engineering Group's documentation and CAD standards.
  • Perform quality check on all documents and drawings to ensure they meet the technical and regulatory standards.
  • Prepare document status reports and metrics for management.
  • Ensure confidentiality and secure storage of proprietary and sensitive information.

Qualifications:

  • A minimum of 3 years' experience in document control, preferably within an engineering, refinery, or similar industrial environment.
  • Proficiency in CAD software and understanding of engineering drawing principles.
  • Strong knowledge of document control practices and standards.
  • Excellent organizational skills with the ability to handle multiple tasks in a fast-paced environment.
  • Demonstrated ability to work independently as well as part of a team.
  • High level of attention to detail and commitment to accuracy.
  • Strong communication and interpersonal skills to liaise with various levels of the organization.
  • Proficient in MS Office and familiar with document management systems.
  • Relevant certification in document control and/or CAD is highly desirable.
