About the Job



The Academics Assistant works closely with the Learning Abroad Center (LAC) Academics team on a variety of tasks to ensure students receive academic credit for their study abroad programs. This student position is responsible for processing international transcripts, creating and maintaining School of Record student accounts, handling detailed and complex data entry, and working on various other projects as assigned. This position works with a significant amount of private student data and will work within and across systems including PeopleSoft, CCS, APAS, U-Credit Abroad, APLUS, and Slate. After initial onboarding and training, this position works independently with minimal supervision, requiring reliability and sound judgment skills.

Job Responsibilities:

Student transcripts (35%)
Process and intake a high volume of transcripts from a wide variety of study abroad program types, each with a different transcript type and varying intake procedures needed
Use the Slate database system to track a variety of Academic processing activities reflecting different statuses of and notes on transcripts, grades, registration and coursework each term
Work on projects related to multiple terms at one time, requiring strong attention to detail and ability to focus, understanding several aspects of the student study abroad academic experience (for example, Liberal Education requirements)

Student data and records (40%)
Synthesize information received from affiliate partners to cross-check for errors and missing information prior to beginning student record creation
Create and activate a high volume of student records in PeopleSoft and in Slate, following varied procedures and utilizing independent problem-solving to ensure accuracy of the students' database records going forward
Maintain and utilize tracking system to ensure all necessary steps are completed for each student record during their study abroad program and after they return File student data and transcripts to maintain privacy and accurate record keeping

Global Identity Course / Canvas Maintenance and Support (10%)
Assist Intercultural and Virtual Learning Manager with enrollment management tasks for online courses administered by the LAC, to include synthesizing assignment due dates and managing other administrative details as needed

Other projects as assigned by LAC Academic Director or other members of the Academics team (15%)
Potential to include research, system and process development related to LAC curricular and program development functions or improve team processes, etc.
U-Credit Abroad and/or TES course equivalency system work

Qualifications



Required Qualifications:
High school graduate or equivalent
-Excellent attention to detail
-Demonstrated organizational skills and ability to focus on accuracy
-Strong computer skills, including some knowledge of Excel and the Google Suite (sheets, docs)
-Ability to work independently with low level of oversight
-Availability to work over the UMN's May / Summer break

Preferred Qualifications:
-Experience with data entry and databases
-Previous office experience
-Interest in and enthusiasm for being part of a large, dynamic and innovative team working to support student cultural and international academic experiences
