Summary of Position

Assists higher level administrators as applicable to the assigned area in the general oversight of operations and services, including supervision of staff. Works under direction and receives assignments and orders in general terms and is usually expected to complete an assignment within a determined time frame but is free to work out the details and sequences. Interprets regulations, policies, etc. for the guidance of other employees or the public.

Position Information

Essential Functions and Responsibilities: Supervises staff; assigns and reviews work; establishes timeframes for the completion of assigned tasks; trains and orients new employees; approves/disapproves requests for paid leaves; interviews candidates for employment and makes recommendations for hire; evaluates employee work performance; receives and responds to grievances; provides assistance with the development of unit work procedures and policies.

Implements and manages all CRM Recruit System needs including all partnership admissions applications such as the EAB and Common Applications, and related data file transmissions and loads into Recruit system.

Designs custom integrations using Power Automate to utilize Recruit's Application Programming Interface (API).

Develops, implements, and maintains new CRM Recruit system and third-party software applications. Manages all third-party systems’ updates and upgrades.

Works with IT staff and constituents to provide crosswalks to pull data into CRM Recruit system and sends the information to EAB and to Banner.

Develops custom mechanisms and procedures to implement majors and concentrations for the undergraduate applications.

Manages all departmental mailings to prospective students.

Creates and manages numerous recruitment communication campaigns to prospective and admitted students and parents using email and text platforms.

Creates workflows that automate communications sent out to all outside constituencies.

Continuously creates and enhances workflows and dashboards within the CRM Recruit system to improve processes; creates CRM Recruit system edit reports and associated dashboards.

Manages all Recruit system upgrades received from Ellucian for Undergraduate Admissions and Honors College applications, tests, and monitors upgrades in collaboration with IT staff.

Troubleshoots all issues, including file transmission issues to and from third parties and to YSU’s banner system, using Recruit system functionality and integrations to provide updates as needed.

Utilizes the CRM Recruit system functionalities to enhance recruitment and enrollment efforts.

Creates procedures that automate applications for residency review processes to ensure time efficiency and accuracy of decision making.

Develops all solution orientated procedures related to the CRM Recruit system.

Engages with the University constituents to determine communication needs for prospective students and parents; implements college-based communication plans.

Other Functions and Responsibilities: Performs other related duties as assigned.

Equipment Operated: Computer and all other standard office equipment.

Work Schedule: Typically, Monday through Friday with occasional weekend and evening hours. Potential for remote work.

Supervision Exercised: May exercise supervision over staff and student employees.

Required Certifications, Training, and/or Licensures: None

Knowledge, Skills, and Abilities:

Minimum Qualifications: At least a bachelor’s degree in computer information systems, management information systems, or student services or otherwise related field; demonstrated proficiency in basic SQL and/or other relational database reporting tools.

Preferred Qualifications: Three or more years of experience in admissions, or a related area of higher education; demonstrated experience with Banner Information System and/or Ellucian Recruit or another admissions CRM system.
