BASIC FUNCTION:
Work directly with the SVP to support all aspects of his daily work routine. Assist in the implementation and administration of new and existing programs relating to the Capital Access Team, such as preparation and organization of important strategic/project materials and plans; support of internal and external meetings to ensure they run efficiently and preparation of materials for these meetings; assistance with project management; online research; payment processing; program reporting, and other duties as assigned.
WORK PERFORMED:
For the Senior Vice President (SVP):
• Work directly with the SVP to support all aspects of his daily work routine.
• Maintain the SVP’s calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements (including process reimbursements).
• Keep the SVP advised of time-sensitive and priority issues, ensuring appropriate follow-up.
• Schedule meetings; assist in the preparation and distribution of meeting agendas and materials.
For the Capital Access Team:
• Support access to capital programs and other small business programs, including securing internal approval of program loans and grants, ensuring participating lenders adhere to all aspects of written agreements, tracking and reporting on program activity, and providing support to program participants, as needed.
• General support of a portfolio of 80-100 active grants and some loans, including review of applications, management of approval and funding process, preparation of Grant Disbursement Agreements, compiling and reviewing information, and preparing directors approval documents and contracts.
• Coordinate with internal contacts (Origination, Finance, Design & Construction, Contractor and Supplier Diversity, Legal) in preparation of board of directors’ approval materials, contracts, project status reports, and other documents appropriate for the review/management of projects.
• Review requests for disbursement, perform desk audits, and manage grant disbursements, including coordination with internal contacts and grantees.
• Attend meetings, as needed, with lenders, small businesses and other relevant players.
• Create and maintain project tracking database and other tracking systems.
• Assume a variety of Department-wide responsibilities as assigned, such as conducting research, ensuring compliance with funding requirements, and managing data.
• Assists in the development of program criteria, operating procedures, reporting mechanisms, and other procedures to insure the efficient and productive operation of programs.
• Prepare reports, spreadsheets and analysis of data collected regarding program information.
• Assist in preparing annual reports as prescribed by statute and regulation.
• Assist with the vendor payment process and coordinating with teams, such as Accounts Payable, Contract Administration and Treasury.
• Learn the basic information on a portfolio of programs under the Department and be ready to speak about them on calls, outreach, and public events.
• Other tasks as assigned when they arise.
The minimum qualifications required for this vacancy. Minimum Qualifications Education Level required: Bachelor’s degree in business, public administration, accounting, or another business-related field or an Associate’s degree with 7 years, direct relevant experience may substitute.
Relevant experience required: Familiarity with small business issues, interest in entrepreneurship, knowledge of community development financial institutions, or community development, and/or nonprofit management or government programs and policies.
Knowledge required: Excellent written and verbal communication skills, strong organization, problem solving, time management, and analytical skills. Ability to efficiently manage multiple projects/tasks simultaneously, take initiative, and works independently. Familiarity with business, not-for-profit, and governmental agencies, and general knowledge.
