All Inns of Aurora employees are expected to demonstrate the following characteristics as defined in the Inns of Aurora, LLC handbook Courage Initiative Dependability Flexibility Integrity Judgment Respect for others POSITION PURPOSE Under the direction of the Director of Sales, the Sales Coordinator is responsible for coordinating details for guests and IOA teams prior to, during, and after group events. They will provide assistance in maintaining and growing the Inns of Aurora customer base to generate additional revenue. Requirements RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS Detail group retreats once the contract has been finalized by the Sales Team. Be available to the planner to provide details about our venues, menus, event set up, travel, area activities, etc. Acts as liaison between sales team, operating teams, and customer throughout the event process. Is available to solve problems and/or suggest alternatives to previous arrangements Recognizes opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding experiences Confirm reservations and payment details with our dining outlets and Programming department Work with the reservations team to delegate rooming assignments, billing, and payment Finalize payment and follow up after the event with our team and guests for feedback Assist with researching billing issues Drive internal communications and ensure exceptional service by sharing and clarifying event details with all operations Update accounts, bookings, changes, and cancellations in Event Temple and ensure all information is correct and complete Dedicates time each day to research groups that are coming to the area or area businesses who host meetings or retreats Gather sales and marketing collateral for meetings, trade shows, and networking events for the Sales Team Assist the sales team in daily operations Assist with A/V and meeting room setup and execute events, when necessary Perform any other job-related duties as assigned Additional responsibilities include: Participate in sales & event team discussions Maintain an awareness of current sales, event, and marketing trends and adapt as appropriate QUALIFICATIONS Associates Degree required Proficiency in Microsoft Office and Excel Excellent written and oral communication skills Excellent organization and time-management skills Ability to work independently and self-direct as well as part of a team Flexibility with schedules, including weekend, holiday, and evening availability PREFERENCES Experience working with Stay N Touch and Event Temple Previous hospitality experience, preferably at a luxury level Knowledge of arts, culture, history of the Finger Lakes, and area attractions SPECIAL POSITION REQUIREMENTS Proven record of observing legal and defensive driving practices, as verified by the NYS Lens Program Occasional travel required; all work-related expenses paid Benefits We are proud to offer outstanding benefits to all of our employees.
