About the Job



Bargaining Unit Consideration period starts on May 9, 2024 and ends on May 16, 2024.
This position is a 12-month 40 hr/wk appointment.
The work schedule is 8am-4:30pm with some room for flexibility. Travel to the Tribal State Relations Training is required (a minimum of three days per month). Attendance at both training days is required.
The pay rate range for this position starts at $21.69 / hour and depends on qualifications.
The mission of the Tribal Sovereignty Institute (TSI) is to promote tribal sovereignty through education, outreach, research, tribal consultation, and partnerships with Native Nations. TSI is connected to the Department of American Indian Studies.

The Administrative Specialist works closely with the TSI Associate Director and other TSI staff to manage the training registration process and all registration-related communications. They will also create classes and process training registrations in the Destiny One Registration System. The Administrative Specialist will assist with preparation for and delivery of training events.

Position Responsibilities

Administrative (60%):
Create and manage program attendee registration through the University's registration system, and process registrations according to registration type.
Communicates with agencies and participants to register, send copies of PO, etc. in for processing.
Attends on-site programs for set-up, to ensure programs are delivered according to contract(s), hand out gifts and stipends to special speakers/panelists, and to address issues and solve problems as they arise.
Serves as the primary contact for all attendees, sends regular emails with updates and any other pertinent information.
Updates the program web pages.
Keep an organized inventory of all supplies for the training and places supply orders as needed. Supplies include folders, wild rice, post it notes, note cards, etc. Brings supplies to each training and brings them back after the training is finished.
Keeps registration records for the program, including historical information.
Updates all template files to reflect current information.
Submits an application to obtain certain CEUs (Continuing Education Units) after each training.
Event Coordination (40%):
Serves on program planning committees.
Prepares and assembles program materials for attendees (e.g., agenda, name tags, folders, certificates, etc.) as well as signage to use at the programs/events. Prints all documents that go into participant folders.
During the program, takes pictures to document each training. Ensure speakers and panelists are set up and have everything they need (including table tent and name tag).
Works with State of MN Tribal-State Relations Training Manager to distribute cash stipends to certain speakers/panelists of the training. Conducts a meeting before the training starts to go over who will be speaker/presenting and who should receive a stipend.

Qualifications



Required Qualifications
Knowledge of American Indian Nations, and more specifically, of Tribal Governments in Minnesota.
Cultural awareness and sensitivity towards individuals with diverse backgrounds and heritages.
High School Diploma/GED and two years related office and administrative experience. Training/education may be substituted for some of the years experience.
Computer experience required.
Valid driver's license for travel to program/event sites, meetings, etc., and the ability to stay overnight through the duration of the programs/events as needed.
Ability to move loads of up to 30 pounds.
Preferred Qualifications
Experience working with American Indian tribal communities.
Strong verbal and written communication skills.
Strong client/customer service orientation.
Effective organization and teamwork skills.
Proficiency with computer software programs.
Demonstrated ability to think critically, solve problems, and work independently with minimal supervision.
Familiarity with registration systems, such as Destiny One.
Familiarity with basic document and graphic design tools.
