Join a dynamic team of eight experienced Administrative Assistants who are committed to providing top-notch support to the Office Manager and senior team members. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your efforts in coordinating tasks, planning events, and managing travel arrangements will directly contribute to the efficiency and productivity of the team, supporting the achievement of our organizational goals.

Responsibilities:

  • Provide comprehensive administrative support to the Office Manager and senior Administrative Assistants, including scheduling meetings and managing calendars.
  • Arrange travel accommodations and itineraries for team members, ensuring compliance with company policies and budget constraints.
  • Manage travel and expense (T&E) reporting using Concur, ensuring accuracy and timely submission of expenses.
  • Assist in planning and coordinating office events and activities to enhance team engagement and productivity.
  • Prepare and distribute correspondence, reports, and presentations using Microsoft Word, PowerPoint, and Excel as needed.
  • Assist with the coordination of team projects and ensure timely follow-up on action items to maintain high productivity levels.
  • Serve as a point of contact for internal and external stakeholders, delivering exceptional customer service.
  • Maintain respectful and professional relationships with collaborators and vendors, including office management vendors like CBRE and travel agencies.
  • Ensure compliance with company policies and procedures within a regulated finance environment.
  • Maintain organized records and files, ensuring confidentiality.
  • Foster a collaborative environment where all team members contribute equally, recognizing that there is no hierarchy between services.

What We’re Looking For:

  • Proficiency in both English and French (written and verbal).
  • Minimum of 2 years of experience in an administrative or support role, preferably in the finance sector.
  • Knowledge of compliance standards and regulations in finance.
  • Familiarity with Concur, Microsoft Word, PowerPoint, and Outlook.
  • Strong customer service orientation with the ability to handle inquiries and resolve issues effectively.
  • Excellent organizational skills, attention to detail, and a proven ability to maintain a high level of productivity.
  • Ability to work collaboratively in a team environment, valuing the contributions of all team members.
