About the Job



Position Overview
Candidate will help assist with the administration of TRIO Upward Bound 2024 summer program services. The summer employment dates are May through August 31, 2024. Hours may vary, individuals should be able to work 30 hours per week, Monday through Friday and one Saturday in June. Office Assistants provide administrative support to keep TRIO UB running efficiently, accountable and compliant with both University and federal grant administration requirements. The duties cover a broad array of clerical, communication, organizational, and maintenance of projects. The duties will center around communications support, general office support, program files coordination, program newsletter support, data entry, client mailings, program email and voicemail maintenance. Our program is dynamic and fast-paced and we hope that you are too.
This position is based on campus. Per UMN policy, work may be done remotely when appropriate and approved by your manager.

Job Responsibilities

Office/Administrative Support 85%
Provide impeccable customer service to clients and stakeholders
Organization of files (hard copy and electronic) and maintaining confidential program records
Copy and scan program documents as needed
Monitor and restock supplies, office equipment and student incentives
Prepare, receive and deliver mail
Work collaboratively with other staff on shared program projects
Maintain TRIO UB office suite space and storage areas
Maintain clean and orderly work and shared spaces under program domain
Assist with financial forms processing and tracking
Data entry of program and student information
Provide general clerical support to the Program Director, Project Coordinator, and Office Manager
Provide support for the Summer Food Program, Annual Performance Report, Alumni Relations and tracking of student documents in binders and file folders
Assist with student record keeping and federal program compliance initiatives
Other administrative support duties as assigned
Communication Support 15%
Assist in creating media flyers and/or announcements for events and other program announcements
Assist with updating and editing of program materials
Check and monitor program email and voicemail and respond/forward accordingly to inquiries, requests, etc.
Maintain accurate records of client communication
Assist as needed with written translation of assigned program documents to various languages
Update and maintain stakeholder contact information database
Develop, edit and distribute correspondence, reports, and program documents
Answer program phone line, check, forward and relay voice messages to program staff
Help develop promotional materials and assist with recruitment as need
Conduct phone calls to students and families as needed on program behalf

Qualifications



Required Qualifications
Available 30 hours per week, starting in May 2024
Pass criminal background check
Proficient using Microsoft Office Suite products including Word, Excel and/or Publisher and Google Suite
Preferred Qualifications
Strong verbal and written communication skills
Experience using relational database systems
Previous experience creating print publications including newsletters and professional work reports.
Accountable, organized and detail oriented.
Ability to work as part of a team and independently.
Ability to multi-task in a fast-paced environment.
Punctual and reliable
Strong proofreading & editing skills
Bi-lingual; Somali, Hmong, Spanish, Oromo, Amharic, Pashto, or other.
Proven cultural competencies with youth, first generation college students, multi-cultural, immigrant and low-income populations.
Candidates who have social and economic backgrounds and/or lived experiences similar to TRIO Upward Bound student population.

About the Department



Department Overview
TRIO Upward Bound (TRIO UB) is a federally funded, U.S. Department of Education (USDE) equal educational opportunity program. TRIO UB is a college preparatory program for high school students who come from low-income and are working to be the first person in their family who attends college. TRIO UB works with students, parents, schools and communities, on a long-term and intensive basis to help generate both individual and systemic change. Services are designed to help participants build the skills needed to succeed in post secondary education. TRIO Upward Bound annually serves 118 Minneapolis Public High School students; this federal grant project has received continuous funding since 1966.

ethnic backgrounds,
