Job Summary
Job Description What is the Opportunity? The Project Coordinator is an integral team member who provides direct support to the Head, Portfolio Advisory Group U.S, as well as related departmental project management and coordination activities. The incumbent is responsible for organizing related schedules and information, maintaining calendars, scheduling meetings, coordinating travel arrangements, preparing presentations, and handling expense reports to ensure operational effectiveness. This person will also be responsible for data analysis and preparing presentations for regular client meetings, Quarterly and Annual meetings. This position will require flexibility in being able to adapt to different project situations and manage new and on-going initiatives and tasks. What will you do? Provides direct support to Head, Portfolio Advisory Group U.S, and related departmental staff.
Administrative tasks include calendar/schedule management, meeting logistics, travel arrangements, expense reporting, invoice processing and related office management (office supplies, technology, etc.), and event coordination.
Creates presentations for internal and external meetings and events.
Coordinates onboarding logistics for new team members as needed and is seen as a key resource for the team. Project Management Coordination
Partners with departmental leaders to support new and on-going business initiatives.
Plans and coordinates project scheduling, and administrative tasks including follow-up activities along with creating and distributing project information to relevant parties.
Coordinates and schedules meetings, takes detailed notes, sends out meeting summaries and executes on follow-up activities.
Manages day-to-day meeting functions and supports related project activities and deliverables.
Assists in defining project success metrics, performs related project tracking and reporting, updates dashboards, and provides related recommendations to ensure projects deliverables are on track/completed
Utilizes PowerPoint, Visio, MS Word, and Excel to drive the creation of high quality, visually appealing work products What do you need to succeed? Must-haves:
BA/BS in a related field or equivalent experience
3+ years of experience in a coordination or support role, preferably working with senior leadership positions
Ability to handle multiple priorities in a fast-paced and deadline driven environment with the ability to provide direction to and follow
Advanced Microsoft Office skills for data analysis (Excel), and visualization (Power Point & Word) to create content. Concur
Excellent verbal and written communication Nice-to-haves:
Financial Industry experience
Previous experience managing small-scale projects and demonstrated understanding of project management, prioritization and sequencing of tasks and dependencies, detail oriented
