SCHEDULE

Regular Call-In Position (Day)
Must be available Monday through Friday from 8:00 am to 04:30 pm. 
Flexible hours (up to 19 hours per week); will work around school commitments and classes.
 

HIRING RANGE

$17.20

Actual pay commensurate with experience

 

JOB SUMMARY

Maintains departmental files and provides a wide variety of clerical and office support for the Human Resources department.
 

DUTIES AND RESPONSIBILITIES

1. Listed below are the major duties and responsibilities of this position. Essential job functions are identified with an *.

2. Maintains departmental files, including, but not limited to, setting up new employee files, filing records, pulling files for terminated employees, preparing files for storage, and retrieving files from storage. (75%)*

3. Provides a wide variety of clerical and office support duties for the human resources department, including but not limited to (25%) *.

  • Photocopies, assembles, and maintains an inventory of departmental forms, orientation folders, and other materials.
  • Assists with distribution of materials, such as departmental mail, and Open Enrollment packets, employee benefit forms and confirmation letters, COBRA letters, Family Medical Leave Act (FMLA) packets, and bus pass distribution.
  • Prepares new hire personnel files, and prints ID badge for current employees and new hires.
  • Answers phones, screens phone calls, and greets departmental visitors.
  • Provides assistance or directs people to the appropriate Human Resources team member.
  • Screens and routes incoming mail for the Human Resources department.
  • Attends and/or participates in activities such as but not limited to meetings and projects.

  • Observes all safety and health regulations and works in accordance with DLS safety policies and procedures. Reports unsafe actions/conditions and injuries to supervisor promptly.
  • Maintains a positive work climate and effective working relationships with internal and external customers.
  • Maintains attendance as scheduled/assigned, consistent with DLS policies and procedures.
  • Attends and/or participates in activities such as, but not limited to, meetings, required in-service programs, and continuing education and competency assessments.

JOB DEMANDS

Communication Demands:        

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
  • Ability to effectively communicate information to internal and external customers in informal settings such as one-on-one and small group situations.

Typical Physical Demands:        

  • Light physical activity performing non-strenuous daily activities.
  • Requires manual and finger dexterity, eye-hand coordination, close vision, peripheral vision and the ability to adjust focus.
  • Requires corrected hearing to normal range and ability to talk throughout shift.
  • Requires sitting for periods up to two (2) hours without break.
  • Requires intermittent bending, stooping, pulling, and pushing up to two (2) hours per day.
  • Requires intermittent lifting and carrying of supplies weighing up to thirty-five (35) pounds.
  • May require keying intermittently for up to two (2) hours a day.

Typical Working Conditions:      

  • Work environment includes conditions common to an office environment with computers, printers and light foot traffic.
  • Generally works in an indoor, air-conditioned area.

QUALIFICATIONS

Education:

Required:

  • High school diploma or equivalent.
  • Enrolled in Bachelor's degree program.

Preferred:

  • Bachelor's degree from an accredited college or university in Human Resources Management.

Experience:

Preferred:

  • At least one (1) year of work experience in an office setting or customer service experience.

Skills:

Required

  • Ability to communicate effectively in English, both in verbal and written form.
  • Ability to work effectively both independently and with a team.
  • Excellent customer service skills.
  • Working knowledge of general office equipment such as photocopiers, facsimile machines, etc.
  • Intermediate personal computer skills, including Microsoft Word, Microsoft Excel, Microsoft Outlook and routine database activity. (Ex: email, creating letters, formatting data, using tales, inserting objects).
