Job Description

ADMINISTRATIVE ASSISTANT 2, Mechanical Engineering (MechE), to provide comprehensive support for one professor and his research group. Will respond to inquiries; manage calendars and ensure meetings are properly scheduled and occur smoothly; assist with the preparation and organization of materials for courses; compose and edit internal correspondence and documents; monitor and order supplies and equipment; process requests for payment and invoices; monitor and reconcile accounting statements; approve procurement card transactions; gather information and submit requests for visiting appointments; coordinate the orientation of new students, staff, and visitors; schedule appointments, meetings, and travel arrangements; prepare complex itineraries for multiple constituents; oversee the maintenance of lab and office equipment; use web software to input, update, and maintain web content; coordinate events; design PowerPoint presentations from established content; deal with confidential issues using discretion and judgment; and other duties as required.  

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years of administrative, office, or related experience; excellent organizational, word processing, interpersonal, and communication skills; ability to work effectively with people at all levels, prioritize and handle multiple tasks simultaneously, work independently as well as part of a team, and problem solve; experience with calendar management, arranging travel, paying invoices, ordering supplies, account reconciliation, and expense reimbursements; proficiency in Microsoft Office; experience creating/updating websites and social media; and willingness to learn new software.  PREFERRED:  bachelor’s degree.  Job #23511-5
