About the Job



Description of Position

The Mailing Production Lead role is a working production position that is also responsible for coordinating and prioritizing the day-to-day production work in the Addressing & Mailing (A&M) department. This position works closely with the A&M/Print Customer Service Representative to effectively coordinate and prioritize all scheduled work for the A&M production team to complete and meet deadlines. The lead position develops professional, working relationships with the entire A&M production staff, the department manager, the bindery lead, and other internal and external customers.

Responsibilities

75% Mail Production
* Operate a variety of mailroom machines and equipment: inserter; folder; in-line inkjet with tabber; mail meter systems.
* Troubleshoot problems and perform basic maintenance on department machines and equipment.
* Maintain and utilize knowledge of First Class and Non-Profit mailing procedures.
* Maintain and utilize knowledge of variable-data procedures.
* Effectively collaborate and communicate with team, internal and external customers, and vendors.
* Participate in all relevant training opportunities.

20% Leadership & Administrative
* Act as team lead to coordinate and prioritize day-to-day workload for A&M production team.
* Collaborate with team and effectively lead department functions; align production team with workload, delegate production responsibilities, and help resolve production issues.
* Work closely with A&M/Print Customer Service Representative to ensure print materials arrive on time and in needed quantities to meet deadlines.
* Monitor jobs through production to ensure deadlines and quality standards are met.
* Ensure production staff provide complete and accurate billing documentation for jobs.
* Coordinate mail pickup and deliveries with courier.
* Work closely with A&M/Print Customer Service Representative to ensure accurate inventory/counts for departmental/mailing supplies and help coordinate supply orders.
* Lead/participate in special projects and initiatives, as needed.
* Assist in department cross-training initiatives.
* Hold self and team accountable for good customer service.
* Work with department manager to asses and make recommendations to improve the customer experience through new technologies or departmental changes.

5% Miscellaneous Duties as Assigned

Essential Functions of the Position

* Operate all standard mailroom equipment and machines.
* Troubleshoot and perform basic maintenance on department equipment.
* Delegate production responsibilities and set production expectations.
* Lead by example and help motivate a highly-qualified and customer-focused A&M staff.
* Monitor jobs through production to ensure deadlines and quality standards are met.
* Stay up-to-date with USPS policies and trends.

Work Environment

Work is performed within the production environment.
Anticipated Annual Salary: $48,000 - $52,000

Qualifications



Minimum Qualifications
* High school diploma/GED and four years of related experience.
* Technical expertise with standard production mailing equipment and software.
* Intermediate to expert knowledge of standard USPS rules and regulations.
* Strong communication skills with the ability to listen, articulate your position, and advocate for best practice solutions.
* Basic computer knowledge.

Knowledge, Skills and Abilities
* Mail production experience in a team environment.
* Ability to operate all standard mailroom equipment and machines.
* Good-to-expert knowledge/experience in mailroom procedures.
* Knowledge of USPS online system.
* Ability to perform work in a timely and accurate manner.
* Ability to balance multiple work demands as top priorities change.
* Proven written, verbal, and interpersonal communication skills.
* Self-directed and able to work independently with minimal supervision.
* Excellent organizational skills and ability to prioritize tasks and work under pressure and deadlines.
* Ability to work collaboratively with others.

About the Department



Addressing & Mailing (A&M) processes the 1st class and non-profit outbound mail for most University departments and collegiate units. A&M also provides UPS service and campus mail presorting for the University community.
