Job Summary



Provide administrative support for internship and placement efforts at Bethel Seminary.





Responsibilities



Provide Administrative services for Internship and Placement department programs:
Maintain current and accurate departmental manuals, forms and documents.
Serve as first point of contact for the department.
Provide administrative support to the director.
Maintain the department budget and supplies.
Facilitate inter- and intra-departmental business processes:
Facilitate internship and internship placement processes.
Facilitate and maintain student record systems and processes.
Facilitate registration for internship.
Provide communication and client services to internal and external constituents:
Facilitate and provide communication to students and internship sites regarding internship and placement processes.
Collaborate with seminary departments regarding student and departmental issues and processes.
Maintain department website.
List facility access by students and host sites.
Assist the director with event coordination.
Facilitate student group events regarding vocational discernment, internship and placement processes.
Coordinate and host on-line events (denominational representatives, ministry recruitment activities, and other field education events).
Assisting the Director of the Doctoral Program: The position entails assisting students in the D Min program through the thesis phase which includes:
Checking emails.
Correspondence with students and their advisors.
Tracking student progress through the thesis phase.
Submitting stipends for thesis advisors and readers.
Scheduling the defenses and the annual colloquium.
Collaborate with the Office of Student Development and support related internship readiness communication.
Collaborate with the Administrative Assistant for Assessment in regard to internship readiness and vocational assessments.

Strong organizational and process management skills.
Proven ability to manage complex systems and collaborate with multiple constituencies.
Must have exceptional oral and written communication skills.
Ability to work in a professional and confidential manner.
Ability to comfortably navigate various technological applications (i.e. Google, Microsoft Office Suite, Moodle learning management system, Beacon.






Experience



Required Experience:
2+ years of experience working in an office setting.
Preferred Experience:
2+ years of working in an office setting, in higher education.






Education



Required Education:
Post high school training/coursework.

Preferred Education:
Bachelor's degree.

Must be able to work in a sitting job at a computer for extended periods of time.
