TITLE: SC Program Coordinator/Administrative Assistant (Bilingual English/Spanish) TYPE: Non-Exempt SUPERVISOR: Program Director POSITIONS SUPERVISED: N/A Position Summary: The SC Program Coordinator/Administrative Asst. provides support to the Program Director and Senior Center. Under the general supervision of the Program Director, the Program Coordinator will be responsible for the coordination of activities for seniors in accordance with DFTA contracted levels and performance standards. Program Coordinator/Administrative Assistant is responsible for thoroughly understanding R.A.I.N. policies and procedures, DFTA Performance Standards and other pertinent regulatory standards and contractual requirements. Essential Duties and Responsibilities: - Screens incoming calls and responses to questions or requests for information. - Receive, sort and distribute incoming mail. - Responsible for filing, copying and preparing faxes. - Maintain office inventory and supplies. - Responsible for keeping bulletin boards up to date. - Oversee that community room is set up appropriately for activities. - Greet older adults and provide front desk coverage when needed. - Plan and organize activities required by DFTA (recreational, cultural, education workshops/presentation, etc.). - Coordinate trips and attend trips as assigned by program director - When authorized by program director to engage in collection of trip and other money collection responsible for adherence to cash collection policies and procedures - In the absence of the program director responsible for money collection and bank deposits in accordance with policies and procedures - Conduct activities as needed and/or requested. - Assist in coordinating special programs and events. - Oversee customer participation in activities. - Prepare monthly calendar of events and/or newsletter. - Conduct client registration/maintain and update client files. - Recruit, supervise, and coordinate activities of older adult volunteers. - Input participant and attendance information in STARS database. - Maintain customer files. - Prepare and maintain equipment inventory. - Represent agency in community and interagency activities as assigned by supervisor. - Alert the Program Director on upcoming work deadlines and on matters which require immediate attention. - Other tasks as assigned by the Program Director/Supervisor. - Oversee program activities in the absence of the Program Director. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum Qualifications: - Bachelor's Degree with at least one year of experience in the social services field preferably with older adult population. - Associate's Degree with a minimum of two years experience in the social services field with older adult population. - Microsoft Office Skills including proficiency in Word, Excel and PowerPoint. - Bilingual English/Spanish - Great communication skills - Food Handler's Permit is required at hire or within two months of hire.
