Perform a mix of administrative, logistical, and assistant-type duties, while supporting management and coworkers for optimal productivity. Ensure department remains compliant on medical guidelines, department policies, and company policies. |
duties and responsibilities
|
- Compile trip data for flight crews pay sheets. Submit timely and approved sheets to payroll.
- Ensure all new hires are entered into the credential tracking software with their credentials accurately noted.
- Ensure compliance with required credentials (ACLS, BLS, PALS, TPATC, Annual Wellness Forms, Passport, Licenses, and National Certifications) and send/audit reminders when due for renewals.
- Review, secure, and submit daily reports for flight data and patient care records to the appropriate requesting bodies after approval.
- Assist or complete all required reports per CAMTS/ NAAMTA accreditation guidelines.
- Assist with the monitoring of medical inventory software tracking App and prepare orders for approval for restock as needed.
- Attend and take accurate meeting minutes as all Air Ambulance Division Staff Meetings, Quarterly Quality Management Meetings, and others as needed.
- Ensure all Formulary, Patient Care Guidelines, Policies, and Procedures are kept up to date and reviewed annually by the Program Director and Medical Director.
- Coordinate with Equipment Committee team members regarding shipping and receiving medical equipment.
- Assist Medical Educator with departmental and interdepartmental training or education related announcements.
- Answer incoming inquiries and perform basic clerical duties.
- Assist onboarding of new employees with:
- Uniform sizing and initial purchase / order placement
- Coordination of new employee vaccination appointments
- Coordination of fingerprint application processing and scheduling of visit
- Coordination of Passport application as needed, assist with secondary Passport application process
- Coordination with HR and Travel for CCP Visa application process
- Assess and improve current Medical office workflow challenges and limitations, while generating efficiency, reliability, and functionality.
- Assist other department team members as needed.
- Other duties as assigned.

skills, competencies, education, certification, and/or licensure requirements
|
- High School Diploma or equivalent.
- Minimum of 4 years administrative support.
- Proficient in Microsoft Office Suite required, Adobe Editor a plus.
- Ability to obtain a federal security clearance.
- Attention to detail is critical.
- Highly organized and able to manage multiple priorities.
- Excellent written and verbal communication skills and knowledge of proper English usage, grammar, vocabulary, spelling.
- Must be a self-starter and able to work well with limited supervision.
- Proven track record of working with confidential information (HIPAA, CUI) with discretion.
- Ability to work well with others at all levels of the organization.
- Ability to solve challenging problems with creative solutions.
