Summary

The Executive Office Manager oversees day-to-day office operations and stand up office management processes working in our Edina office. Establishes new processes and systems with a strong organizational skillset. Manages administrative and support services working with the Executive team. Responsibilities include general administrative support, office management, relationship managements and event coordination for the corporate headquarters in Edina, MN.

This position is in person reporting to corporate headquarters in Edina, MN.

Office Management:

  • Environment: Organizes, manages and maintains physical office space and create a positive, welcoming environment for visitors; corresponds with landlord as required.

  • Clerical: Responsible for supervision and oversight of clerical functions including scheduling, data collection, communications and mail; supports executive team including operations, quality improvement, human resources and finance.

  • Legal: Maintains systems for current licenses, leases, contracts and agreements.

  • Communications: Maintains and manages data bases and mailing lists; maintains organizational charts.

  • Event Management: Arranges events and meetings for management team and provides support to visitors who are in the Office.

    Human Resources:

  • Employee Safety: Oversees office compliance for employee safety workers’ compensation programs and OSHA compliance.

  • Payroll: Oversees data collection and processing of payroll for office employees; on-boards employees; manages employee background check system.

    Procurement:

  • Supplies and Equipment: Approves and orders supplies and equipment for operating group and/or state office; manages spending for budgetary compliance.

  • Purchasing Cards: Orders, distributes and manages inventory of gas and company purchasing cards.

  • Accounts Payable: Manages local accounts payable processing; handles vendor relations

  • Travel: Assists with travel and hotel arrangements.

    Information Technology:

  • Support: Acts as liaison with IT department; assists with local troubleshooting

  • Set-up: Manages or assists with technology set-up for operating group and/or state office.

  • Employee Set-up: Orders, distributes, and manages inventory for employee computers, Purchase cards, and other IT equipment

Oversees new employee computer; manages inventory and collection of technology equipment.

Performs other related duties and activities as required.

Qualifications:

  • Bachelor’s Degree of equivalent

  • Experience in developing internal systems

  • 1-3 years of administrative and supervisory experience. Proficiency in accounting and basic computer skills and applications are required.

  • Current driver's license, car registration and auto insurance if driving on the behalf of the Company.

  • Travel as needed

  • Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
