We are currently seeking a diligent and detail-oriented File Operations and Records Management Specialist with an active Secret clearance to join our team. This role is critical in ensuring the handling of sensitive information within our customers organization to keep files confidential and managed efficiently. The customer we serve is in the Washington D.C. area.
Job Summary:
The File Operations and Records Management Specialist will be responsible for maintaining, organizing, and securing physical and electronic records. This position requires a candidate with a Secret clearance and a keen eye for detail to support our records management efforts.
Key Responsibilities:
- Maintain and organize physical and electronic records according to established procedures and compliance requirements.
- Accurately input information into record-keeping databases and systems.
- Retrieve requested records and files for authorized personnel in a timely manner from external sources such as National Benefits Center (NBC), and National Records Center (NRC) with the USCIS established time frames.
- Route out correspondence or requests for evidence (RFEs) and notices of intent to deny (NOIDS) and update system identified by task manager.
- Prepare files for shipping to authorized locations.
- Ensure records are properly classified, labeled, and stored based on their level of sensitivity.
- Adhere to security protocols to safeguard classified information and maintain the confidentiality of records.
- Regularly audit records for accuracy and completeness, addressing any discrepancies as needed.
- Assist in the management of record retention and disposal schedules, ensuring compliance with regulatory requirements.
- Oversee the secure disposal of records that have reached their designated retention period and complete audits of each file in accordance with RPM.
- Create and update documentation related to records management procedures and processes utilizing USCIS and RAILS systems.
- Collaborate with other departments and staff members to facilitate efficient records management practices.
- Generate reports and summaries on records management activities and compliance.
