About the Job



Strategic Administration (30%)
Lead administrative function of CLA Career Services(CLACS) Office.
Serve as a member of the CLACS Strategy team, to guide and shape practices and processes in alignment with the unit's strategic plan and to support the scalable delivery of career management education.
Provide direct administrative support to the Director of CLA Career Services, the Director of CLA Career Readiness, and Career Readiness faculty engagement efforts.
Support management of CLACS unit budget, including instructional funding, through regular tracking, review, and monitoring of fund balances and spending
Office Operations & Management (45%)
Supervise the CLACS Front Office Coordinator to ensure supportive and responsive customer service to students and partners and serve as back-up to maintain services in their absence.
Manage CLACS' student staffing program including supporting multiple functional supervisors by convening meetings to coordinate recruitment, hiring, onboarding, ongoing training, and performance coaching to ensure consistency, use of best practices, and effective use of financial resources.
Liaise with CLA UGE HR team to update position descriptions, drive timelines, and ensure internal coordination of recruitment and hiring details and processes for full time staff, course instructors, and student staff.
Manage CLACS general onboarding processes for professional team members and support effective transfer of knowledge when staff depart.
Ensure CLACS team members have access to, and are trained to use, all tech tools and systems related to their particular roles including, but not limited to, Asana, Handshake, APlus, MyCareerManagement, Salesforce CRM, Salesforce Marketing Cloud, Canvas, Canva, PGS Dashboards, CLARA, and other tools and systems.
Design and generate data and outcomes reports, as needed, from sources such as APlus, Post Graduate Survey in Salesforce, CLARA, and the like to support data-driven planning and decision-making.
Manage CLACS' Google Drive infrastructure to ensure use of document naming conventions and organization of folders so documents can efficiently be located and updated.
Manage CLACS' internal staff communications through unit-wide calendaring, Slack, internal team website, and the like
Serve as Departmental Facilities Representative (DFR) for CLACS to manage office space and facility-related issues.
Oversee ordering and inventory of CLACS' office supplies and equipment and liaise with UGE central admin to manage technical needs of team
Programs and Events (15%)
Provide strategic support and consultation to event and program planners for effective coordination across functions within CLACS unit.
Coordinate CLACS' participation in CLA-wide student-serving programs including but not limited to Orientation, College Day, Visit Days, and Commencement.
Manage logistics including scheduling, making reservations, ordering refreshments, and related tasks for unit-wide meetings, retreats, and trainings and the like .
Support CLACS ongoing student needs assessment activities by coordinating logistics for focus groups, distribution of surveys, and similar
Other Responsibilities, Professional Development, and Service (10%)
Demonstrate a commitment to ongoing social justice and racial equity work that identifies, challenges, and removes barriers to access at the individual, community, and system level.
Engage in professional development and scholarly activity in the field of student affairs and career development to maintain knowledge of trends and best practices (e.g. membership in professional associations, attendance at conferences and seminars, write articles, serve on teams and collaborate with other professional groups, etc.)
Participate in CLA Career Services, CLA Undergraduate Education, College and University-wide committees, workgroups, meetings, and events as requested
Other duties as assigned

Qualifications



Required qualifications
Bachelor's degree with at least two years of experience or a combination of relevant education and administrative experience to total six years.
Experience supervising staff and students.
Demonstrated experience working effectively with individuals from diverse identities, cultures, and communities
Demonstrated organizational skills and a high level of attentiveness to detail and accuracy
Demonstrated computer skills and experience with common office software including but not limited to Google suite, presentation software, zoom, email and calendaring applications, and the like.
Demonstrated excellent verbal and written communication skills. Experience with writing and editing for content, style, tone and grammar.
Demonstrated experience working independently and handling multiple tasks simultaneously
Demonstrated evidence of strong problem-solving skills
Preferred Qualifications
Experience supporting leadership.
Ability to demonstrate strong attention to detail and time management skills.
Experience working in an academic setting.
Experience with project management, developing standard operating procedures, and project management software such as ASANA
