Job Description:
Beacon Hill's client is seeking a highly organized and detail-oriented individual to join their team as an Administrative Assistant. In this role, you will provide comprehensive administrative support to the investment and asset management professionals. Key responsibilities include coordinating travel arrangements, scheduling meetings, maintaining client databases, and overseeing office IT services. The ideal candidate will have extensive experience in booking domestic and international travel, excellent communication skills, and the ability to multitask in a fast-paced environment. <br>
<br>This role is contract-to-hire and onsite based in Minneapolis, MN.<br>
<br>
<strong>Responsibilities:</strong>
<ul>
<li>Provide comprehensive administrative support to a dedicated team of investment and asset management professionals.</li>
<li>Coordinate and manage travel arrangements (both domestic and international) </li>
<li>Schedule internal and external meetings, including managing calendars and coordinating catering for internal meetings.</li>
<li>Assist in event coordination and preparation, including scheduling quarterly global update meetings.</li>
<li>Maintain the Client Relationship Database under the direction of the Manager of Investor Relations.</li>
<li>Act as the primary point of contact with the U.S. travel agency for travel-related matters.</li>
<li>Ensure the maintenance and cleanliness of break and kitchen areas.</li>
<li>Manage front desk and reception duties, including greeting visitors and maintaining conference rooms for meetings.</li>
<li>Oversee office IT services, serving as a liaison between the office and IT vendor, and tracking and updating IT requests.</li>
<li>Perform other administrative tasks as required, including photocopying, filing, maintaining office supplies, and sorting mail.</li></ul>
<strong>Requirements:</strong>
<ul>
<li>Extensive experience in booking and coordinating domestic and international travel arrangements, expense reporting, and proficiency in Concur.</li>
<li>Prior experience working in a professional office environment, preferably within a financial institution.</li>
<li>Strong organizational skills with meticulous attention to detail.</li>
<li>Excellent communication and interpersonal skills.</li>
<li>Ability to multitask and prioritize tasks effectively in a fast-paced environment.</li>
