This position exists to provide administrative and clerical support to the Admission and Student Affairs efforts at DCTC. This position coordinates the admissions process and administers the flow and documentation of student records necessary in the admissions process. This position exists to monitor the acceptance, wait list, or denial of a student into a program of study. The person in this position is responsible for the accurate management of the applicant and student modules within the Integrated Statewide Record System. This position provides direction to other staff in relation to admissions, computer functions and student records. The position also maintains the critical link between Student Affairs, the college faculty & staff and will work collaboratively with Inver Hills Community College.

Example of Responsibilities:

  • To process, coordinate, and monitor records for student applications and admissions process.

  • Administer, organize, and maintain a communication plan pertaining to student admissions and enrollment functions.

  • Provide general support for the Admission, Testing and Student Affairs.

  • Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

Minimum Qualifications

Ability To:

  • Answer questions politely via phone, email, and other written or electronic correspondence.

Skill in:

  • Customer Service sufficient to (1) Schedule and confirm customers’ appointments in person, on the phone, and through email and other written or electronic correspondence; (2) Provide prompt, courteous and accurate information to a variety of customers over the phone, in person and via email.

  • Word processing sufficient to use software to create, format, edit, print, and save a variety of documents, letters, memos, emails, etc.

  • Data entry skills sufficient to create database records and update entries in a timely manner.

Preferred Qualifications

  • Post-secondary degree.

  • Experience working in higher education setting.

  • Experience providing direct service to internal and external stakeholders in higher education.

  • Experience using Minnesota State databases such as the Integrated State Record System, D2L and e-Services.

  • Experience with Connect - Customer Relation Management system.

  • Knowledge and understanding of data privacy laws (ex: FERPA).

  • Self-motivated/self-disciplined.

  • Ability to think critically.

Physical Requirements

  • Position requires occasional lifting of articles and carrying light objects frequently (approximately 50 lbs.).

  • This position will require a combination of walking and/or standing for a significant portion of the job.

  • Additionally, work may involve long periods of sitting for the purpose of answering phone lines and using a keyboard for word processing or to enter electronic data.

Additional Requirements

In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
