Job Summary
The Executive Administrative Assistant works independently and collaboratively to provide executive level fiscal and operational coordination for, and support to, the Associate Provost performing daily financial, office, and project management activities including, but not limited to, budget coordination and management (departments, grants, foundation), report and newsletter generation, meeting and travel coordination and arrangement, agenda and minutes preparation and stakeholder communication and coordination. 

The successful candidate will be highly organized, self-directed, adaptive and demonstrate strong independent thinking and decision-making skills. Professionalism, strong time management skills, excellent customer service and flexibility are a must to manage this fast-paced environment and ensure that the unit operates at optimum efficiency.

This position requires knowledge of institutional and state policies and procedures, demonstrated ability to interact with executive level administrators, faculty, government officials and business executives with an understanding of protocol, political environment and implications and confidentiality.
Required Qualifications
  • Experience providing administrative support and coordinating the daily operations of an executive office with minimal supervision, using sound judgement, discretion, tact and initiative.
  • Working knowledge of accounting and financial systems.
  • Strong skills in word processing, calendar, electronic mail, and databases.
  • Strong communication and interpersonal skills sufficient to collaborate and communicate with faculty, senior administrators, and staff within and beyond the organization.
  • Experience researching and preparing confidential and sensitive documents.
  • Proven ability to delegate, track and manage information and manage multiple projects at one time
Additional Considerations
  • Education and/or experience in business, administrative, or related field
  • Knowledge of state and university policies and procedures.
  • Experience in higher education or in an office environment that works with confidential and sensitive information and situations.
  • Ability to exercise sound judgment and discretion dealing with confidential and sensitive matters.
  • Working knowledge of Banner, eVA, Chrome River, Cognos or similar systems
