ProDims is accepting resumes for a Project Administrative Specialist. The candidate will work on-site in a project office. There are a broad range of responsibilities including the following:
• Formatting, compiling and generating reports, technical memos, tables, graphs,
correspondence and presentations, meeting minutes
• Reviewing drafts and finished documents prepared by others for grammar usage
and formatting
• Gathering, compiling, and tracking and reporting on information relevant to project
assignment
• Data entry, and issuing standard reports including monthly reports to management
• Scheduling project meeting including booking conference rooms and inviting the
attendees
• Taking meeting minutes and monitoring action items
• Ordering and maintaining office supplies
• Escorting visitors and vendors to their designated place or person
• Scheduling and coordinating training for new and existing staff
• Assisting with document management using SharePoint software
• Providing assistance to team members as needed on a variety of tasks
TRAINING And EXPERIENCE:
• Completion of a High School Diploma/GED and 7-10 years of experience providing
the full range of project site or office administrative support functions for a division
or department within an organization
• Proficient with Microsoft Office Suite and SharePoint software programs
• Good organizational skills with the ability to prioritize
• Excellent communication and problem-solving skills
• Must be a team player as well as have the ability to work independently
• Ability to handle multiple tasks and meet deadline
• Ability to interact with all levels of internal and external contacts including
management, clients, staff and other customers
• Knowledge of federal, state, and local laws, codes, and regulations
• Basic principles and practices used in establishing and maintaining files and
information retrieval systems
• Techniques and strategies to facilitate responding to inquiries and routing calls and
