Job Opening:
The Department of Conservation and Recreation is seeking candidates for the position of Administrative Specialist, Program Coordinator I, State House.
The incumbent provides administrative support and quality assurance for the State House Security Program (SHSP), and assists with the administrative functions of the SHSP to ensure it achieves its overall mission. This position provides direct oversight of the following administrative functions: payroll approval process, Employee Performance Review System (EPRS), staffing and scheduling, budgetary review, policy development, statistics and data analysis, training and development, and record keeping. The primary function of the position is to ensure all personnel are compliant with government rules and regulations and administrative policies of the SHSP. The Administrative Specialist may also serve as liaison with multiple departments and agencies, attend meetings, and present reports.
DUTIES:
-Oversees payroll for the State House Security Program (SHSP) to ensure it is processed accurately, on time, and in compliance with Government regulations. Serves as Time Approver for Self Service Time and Attendance (SSTA).
-Supports and tracks the Employee Performance Review System (EPRS) for the SHSP.
-Coordinates staffing and manages scheduling for Ranger I, II, and III staff to support day to day operations.
-Evaluates daily staffing levels and ensures adequate staffing levels are maintained on each shift.
-Creates schedules and oversees the bidding process for Ranger I and Ranger II staff.
-Maintains records and formulates reports concerning overtime distribution and cost.
-Assists in Budgetary Review.
-Develops and implements directives and guidelines to help achieve program objectives.
-Drafts memoranda regarding payroll, time and attendance, training, and scheduling.
-Ensures administrative policies and procedures are adhered to.
-Reviews and processes time off requests to ensure standard directives are followed and requests are addressed in
a timely manner.
-Generates reports and maintains records regarding employee time and attendance, payroll,
scheduling, and required training.
-Serves as a liaison with Human Resources Department on matters of payroll, personnel,
time and attendance, employee benefits, and training.
-Maintains training records and ensures all necessary training specific to the SHSP is completed by established
deadlines.
-Assist with the onboarding of new employees and orientation on administrative policies and procedures.
-Assists with identifying available training and processes training requests.
-Maintains Fleet related transactions.
-Generates and maintains official forms needed for operational and administrative purposes.
-Attends meetings.
-Reports to the Deputy Chief – Administration.
-Performs other duties as assigned.
