TITLE: Principal’s Secretary
QUALIFICATIONS:
1. High school diploma
2. Proficiency at the computer
3. Working knowledge of office procedures and operations of office equipment and machines
4. Two years of post-secondary training and two years’ job experience as a secretary; or graduation from a recognized school of secretarial skills and two years’ job experience, or five years’ successful employment as a school secretary with this or another school district.
5. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

JOB GOAL:
To assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of students can be realized.
PERFORMANCE RESPONSIBILITIES:
1. Perform the usual office routines and practices associated with a productive and smoothly-run office.
2. Maintain and keep up-to-date all student records. This includes permanent, cumulative folder, attendance, activity records, and recording all grades on report cards.
3. Maintains a regular filing system as well as a set of locked confidential student files, and process incoming correspondence as instructed.
4. Keeps daily attendance records.
5. Maintains a log of substitute teachers in the school.
6. Maintains a log of students leaving during the school day for appointments and/or illness.
7. Receives all money from students and teachers and issues a receipt. Prepares deposit slip and accounting forms.
8. Assist teachers in the duplication of instructional materials.
9. Maintain the storeroom inventory of instructional supplies and extra-curricular supplies. Makes recommendations for the requisition of supplies.
10. Handles all student problems which do not require the specific decision of the principal.
11. Prepare and file all student related materials.
12. Responsible for the preparation and mailing of all correspondence originating at the principal’s office.
13. Assist students when injured or ill.
14. Greet and assist all individuals who enter the building.
15. Receive all telephone calls, assist caller, and relay messages when necessary.
16. Assist principal and/or guidance counselor in enrolling new students in school.
17. See that the office machines are in working condition and assist the operators if necessary.
18. Elementary secretaries will enroll kindergarten students at Round-up, maintain the computerized hot lunch system, and keep all records required of the program.
19. Maintain a high level of confidentiality.
