The Administrative Services Specialist II provides administrative support and secretarial services to assist the General Manager and management staff with administrative functions.
Major Position Responsibilities
Manages the General Manager's calendar and independently schedules management staff appointments.
Books travel arrangements and itineraries for critical business meetings. Including Concur expense reporting for reimbursement.
Processes, coordinates and maintains accurate administrative records.
Coordinates, and as required, provides administrative assistance and support to key senior management meetings and events. Including catering meeting meals when requested.
Handles proprietary and sensitive information as required, professionally and discreetly.
Represents the executive management staff on routine matters and inquiries requiring responsible, professional coordination and follow-up. Tasks include customer interface, external business-related contacts and employee interactions.
Assists the management staff in carrying out reports and special projects, as assigned.
Prepares material for visual aids in support of presentations by the General Manager and/or dept managers.
Initiates company policies and procedures unique to administrative assistants, such as records management.
May serve as administrative focal point for overall status, guidance, typing/format on GD policies/procedures.
Maintains complex and confidential databases and spreadsheet files.
Represents a respected and worthy role model for other administrative assistants.
Is expected to contribute beyond strictly defined administrative duties. Examples of these special assignments may include: support of management and security staff, technical publications, or cost management function. May serve as a focal point for activities such as monthly or yearly budget cycle activities.
May work extended hours as required by the operation to meet company & customer commitments.
Basic Qualifications
Able to work in a fast-paced environment.
Strong proficiency with MS Office applications - Excel, Project, Word, PowerPoint, etc.
Presents a neat professional appearance, establish and maintain good work habits, and be regular in attendance, punctual in work hours, professional in attitude and demeanor and productive in work output.
Able to perform independently without direction, guidance, prompting or checking. Utilizes sound judgment in resolving administrative issues, conflicts and priorities.
Inherently capable and professional when interfacing with all levels of company, customer and other personnel. Routinely demonstrates diplomacy, discretion and pleasant manners.
Able to receive instructions and work from several individuals and carry out assignments in a timely and effective manner.
Able to convey instructions to others clearly and understandably while motivating their actions.
Ability to obtain a Secret Security Clearance and assist with Security Admin responsibilities.
Education and/or Experience: Bachelors Degree required; Two (2) to Four (4) years of experience in an administrative support role.

Pay Range (USD)
$68,425 - $127,075
Additional Compensation
Hired applicant may be eligible to participate in the Company's Gain Sharing Program.

PTO, Holiday, and Family Leave
