Clear Employer Services is assisting with the recruiting of an Executive Assistant for a Philadelphia based non-profit organization. The position is a full-time, onsite role supporting the CEO and Executive Leaders in the organization.

The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

The normal hours for the position are 9am-5pm Monday-Friday. The individual selected for this position will need to have scheduling flexibility to support extended hours and/or weekends as needed.


Responsibilities:

  • Supporting the CEO & the Executive Team
    • Supporting day-to day administrative operations
    • Manage Outlook calendar
    • Support special projects, events, and board of director operations
    • Manage the organization calendar
    • Supervise the administrative assistants
    • Manage office operations and meetings
    • Provide back-up for the reception area
    • Coordinate, budgeting, and ordering of office supplies
    • Coordinate and attend board meetings
Qualifications & Experience:
  • High school diploma or GED required; associate's or bachelor's degree preferred
  • Minimum of 5 years of administrative experience
  • Non-Profit and/or Community Youth Services Experience preferred
Essential Functions and Requirements:
  • Excellent professional oral and written communication skills; fluent in the English language
  • Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, and OneNote)
  • Proficient in learning new systems and tools to standardize and automate processes
  • Ability to maintain high-level confidentiality standards on matters of a sensitive and private nature
  • Must be able to travel to multiple locations within the Philadelphia surrounding areas
  • Manage multiple tasks, make decisions, meet deadlines and work under pressure
  • Work effectively with other professionals
  • Ability to promote a sense of urgency within the team for reaching goals
  • Strong follow up skills to ensure deadlines are met and team members are held accountable for achieving results
