VGS is a highly acclaimed, successful, private, not-for-profit 501(c)(3) vocational rehabilitation agency with over 130 years of dedicated experience serving persons with disabilities or other barriers to employment. We are currently seeking a candidate to fill our Caseload Assistant opening who will be responsible scheduling and confirming appointments, give information to callers, prepare, process, and maintain program participant records, and otherwise relieve Vocational Rehabilitation Coordinators of clerical work and administrative and business detail. Specific job responsibilities include:


Input basic case load data generated by the activities of the Vocational Rehabilitation Coordinators and produce monthly voucher report.
Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by employer.
Help obtain appropriate documentation for program participant eligibility, progress on program participant IPE and closure information.
Assist in the completion of eligibility determination for Vocational Rehabilitation Coordinators.
Compose and type routine correspondence including purchase orders and referral letters to medical sources, program participants, vendors, and community rehabilitation programs and OOD Central Office.
Participate and assist Vocational Rehabilitation Coordinators and Supervisor on Intake Days, as well as the completion of intakes for referrals.
Connect with community organizations for referral development.
Attend in-person OOD or CCBDD meetings pertaining to the contract.
Assist Vocational Rehabilitation Coordinators in completing plans for incoming and active clients.
Review incoming billings and make cancellations and corrections as needed in AWARE
Assist with payment and vendor issues to ensure timely billing and report accuracy
Provide information and referral services to program participants throughout the entire VR process
Establish/reestablish relationships with community resources
Create and update a resource list/document in electronic format
Take/follow up on program participant calls
Field questions from program participants on statewide waiting list
Follow up with medical and psychological providers regarding services and request for records
Connect program participants with appropriate service agencies in the community as needed
Educate community on OOD services and Order of Selection as appropriate; identify Most Significant Disability referral sources and share information on OOD; follow up with program participants to be sure they are following through with take home assignments
Answer telephone calls and route calls and messages to the appropriate co-worker.
Greet scheduled visitors and escort them to appropriate area or person.
Conduct research, compile and type statistical reports including quarterly review reports and attend quarterly review meetings.
Prepare and submit accurate and timely billing reports to referring agencies to ensure 100% payment for all services provided. When billing issues do arise, work with referring counselors to resolve promptly all issues that result in overdue bill payments. The sum of any bills that are not paid within 90 days will be excluded in measuring your performance against financial goals.
Make copies of correspondence or other printed materials.
Prepare outgoing mail and correspondence, including e-mail and faxes.
Order and maintain supplies and arrange for equipment maintenance.
Compile and update vendor programming and cost information.
Support VRP3 Coordinators and Supervisor with daily activities, as given.

Qualifications


Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Must submit to BCI and FBI fingerprint checks and pass Medicaid background check requirements.
Knowledgeable on Microsoft Office products. Ability to learn new software programs.
Must have reliable transportation for referral development and off site meetings.
