Minimum Qualifications:

  • Three (3) years of experience in Customer Service-related field.
  • Answers to qualifying questions must be verifiable within the work and/or educational history.
  • Employment in this position is contingent upon a satisfactory criminal history check (fingerprint-based) in accordance with Chapter 435, Florida Statutes.

Duties and Responsibilities:

40% Administrative Support:

Receives, distributes, and notifies staff of mail/packages for all Division/Offices within the Russell Park Building; Serves as the contact for the phone system and reports system issues to OIT, as needed; Receives and routes incoming phone calls for General Services, providing answers to questions which may involve the interpretation of policies and procedures; Assists the General Services - Purchasing staff with tasks such as time stamping solicitation responses upon receipt, copying, filing, logistical support, printing reports, labels and envelopes; Assist in the timely and accurate processing and/or approval of purchase requisitions in MyFloridaMarketPlace (MFMP), by reviewing for accuracy, compliance with Laws, Rules, and Commission policy; Serves as the central point of contact for General Services related to maintenance issues in the Russell Park Building; Monitors conference room calendars for availability and scheduling; Creates/maintains Desk Procedures for the front office and Purchasing/Contracts section as requested; Internal Purchasing SharePoint Site management and Template/document management.

40% Customer Service:

Follows communication guidelines and best practices as outlined in the FWC Internal Management Policies and Procedures (IMPP) 1.33 (External Customer Servicers) and in annual agency training, to ensure proper customer service is being delivered; Displays efficiency and professionalism in all communications; Contributes to the team by preceding updates, proactiveness responsiveness, feedback, cooperation, and efficiency; Relationship with others; Maintains a cooperative, friendly attitude. Keeps supervisor fully informed of accomplishments, progress, problems and pending items. Maintains an open dialogue with supervisor and handles assignments in a timely manner; Initiative; Anticipates change and possible problem areas and address in advance. Examine procedures and recommend improvements; Public Contract: Responds to all inquiries and concerns in a timely manner. Promotes a climate of public service and cooperation; Assists customers by giving information and helping to resolve customers' concerns. Resolves issues by clarifying the customers' requests, determining the cause and effect, selecting and explaining the best solution to resolve issues, and following up when needed to ensure resolution. Identifies and assess customers' needs to ensure satisfaction and professional demeanor at all times; Maintains knowledge of FWC utilizing knowledge base systems, FWC website and SharePoint, printed literature, and other available resources; Examines processes and procedures and recommends updates. Communication and coordinating with colleagues professionally and effectively; Perform procurement and contract function as directed, including processing solicitation and contract documents.

20% Other:

Attends training and conferences. as necessary; Performs other duties and special projects as required.

 

Knowledge, skills, and abilities, including utilization of equipment, required for the position:

Knowledge of standard business formats and styles for letters and business forms; Knowledge of office procedures and practices; Knowledge of the principles and techniques of effective communications; Knowledge of the methods of data collection. Skills in typing and data entry; Skills in data processing; Skill to operate a personal computer using Microsoft Office applications. Ability to produce final products within established timelines; Ability to organize files and other records; Ability to compile and analyze data for administrative decisions; Ability to organize and maintain records management systems; Ability to perform basic math; Ability to use correct spelling, punctuation and grammar; Ability to type letters, memoranda, and other standard forms in correct format; Ability to operate general office equipment; Ability to handle telephone calls in a courteous and effective manner; Ability to plan, organize and coordinate work assignments; Ability to communicate effectively; Ability to establish and maintain effective working relationships with others; Ability to be a self-starter.

This position has financial disclosure responsibility in accordance with Section 112.3145, F.S.

Responsible for the following provisions and requirements in section 215.422, Florida Statutes, related to the Department of Financial Services rules and FWC’s invoice processing and warrant distribution procedures.
