Required Skills: | • Professionalism with excellent customer service and interpersonal skills • Administrative and effective written/verbal communication skills • Ability to operate multi-line phone system, copier, scanner, credit card machine and other office machines/software programs • Working knowledge of HIPAA standards and adherence to mental health and business laws • Willingness/ability to interact with clients in professional, confidential and sensitive manner • Willingness/ability to collect payments for copays, coinsurance and past due balances • Experience working with Psychiatrists to include; refill requests, prior authorizations, scheduling and collaboration • Must be able to listen to complex medical information and document in clear, complete and concise fashion • Mental Health and Medication Terminology • Responsible self-starter with strong organizational skills • Ability to memorize and perform multi-step tasks frequently and work with interruptions and deadlines • Strong analytical and problem-solving skills • Microsoft Office Skills/ keyboard, 10 key, and mouse proficiency |
Preferred Skills: | • Must be able to work 40 hours per week (Monday-Friday) • Must be able to work at office locations; Chanhassen, Minnetonka and Bloomington • Experience with Procentive (EMR) and Dr. First are helpful • Experience in a mental health clinic setting |

Job Description: |
Choices’ Behavioral Health Assistants work together with a team to provide reception, clerical, and administrative support for our three clinic locations. We collaborate with our therapists and psychiatrists both remotely and in person to provide outstanding mental health care in the Twin Cities. Duties include, and are not limited to, the following: • Greet clients and other visitors to the clinic • Check in clients for scheduled appointments and ensuring all required forms are completed when necessary • Collect co-pays and balances due on account and record payments made • Schedule and maintain appointments for patients and clients, including first time appointments • Answer incoming phone calls from multi-line phone system and direct calls as necessary • Reminder notifications for all first-time appointments • Conduct phone screenings with new or return clients to gather necessary information and enter information into computerized database • Assist billing department as needed with collection of past due account balances, verification of client benefits and manage reauthorization of benefits as needed • Create and send email communications as needed to inform team/providers of changes/issues • Maintain cleanliness in client waiting area; restock beverage station, tissues and client reading materials • Assist in the maintenance of office equipment and ordering of office supplies • Notify and correct system/database errors as needed • Distribute, respond to, and send faxes as needed • Assist providers in tracking attendance of patients/clients • Attend weekly administrative team meeting • Attend monthly All Staff Meeting • Responsible for confidential and time sensitive material including requests for medical records • Responsible for opening and closing the clinic and administrative office at all locations when required • Contribute to team effort by accomplishing additional requested tasks as needed • Check faxes, phone messages and Dr. First for refill requests • Assist psychiatry department with communicating with pharmacy as needed for medication refills and additional duties as assigned pertaining to the psychiatry department • Assist psychiatry department with Facilitating Prior Authorization Requests for medication as received by pharmacy; which may include online Prior Authorization submission and tracking. With assistance from Nurse or Psychiatrist forward completed request to proper company for further processing • Communicate with Psychiatrists for approval/denial and respond to pharmacy and/or client in a timely manner • Answer incoming phone calls that are directed to the psychiatry department for refills and symptoms and/or side effects if a member of the psychiatry team is not available • Other duties as assigned by the Clinic Manager and Executive Director • Regular and reliable attendance
