<strong>Position Description:</strong>
<br>
<br>The Executive Assistant will provide high-level administrative support to the CEO's Office and support the Board of Directors. This role involves assisting with administrative tasks for other Executive Team members and ensuring efficient operations.<br>
<br>This is a contract position, with the possibility to convert to a permanent or long-term role.<br>
<br>This role has a hybrid work structure with 1-2 days per week on-site in Saint Paul, MN.<br>
<br>
<strong>Responsibilities include, but are not limited to:</strong>
<br>
<br>Executive Support:<ul>
<li>Provide high-level administrative and logistical support to the Office of the CEO, General Counsel, and VP of HR.</li>
<li>Represent the office in written and verbal communications.</li>
<li>Maintain appointment schedule by planning and scheduling meetings and conferences.</li>
<li>Coordinate travel arrangements, including itineraries and expense reports.</li>
<li>Assist in managing and preparing for key deadlines and presentations.</li>
<li>Arrange and manage all materials related to service on boards and committees.</li>
<li>Conduct research to inform decision-makers and initiate new processes to enhance administrative operations.</li>
<li>Process department invoices and monthly expenses, assisting with budget management.</li>
<li>Ensure compliance with federal, state, and local ordinances.</li>
<li>Manage a portfolio of projects and executive office operations to ensure maximum efficiency and productivity.</li>
<li>Provide administrative support and coordinate logistics for the CEO, including maintaining daily schedules, tracking hours, and completing travel and expense reports.</li>
<li>Act as a proxy for the CEO when requested, handling issues, and making decisions in collaboration with Executive Team members.</li>
<li>Manage separate legal entities in partnership with outside general counsel.</li>
<li>Facilitate governance and risk management processes.</li>
<li>Provide subject matter expertise on governance for affiliate entities.</li>
<li>Exercise discretion with confidential information.</li>
<li>Help interpret and implement the CEO's vision and strategic intent.</li>
<li>Assist in prioritizing projects and business impacts.</li>
<li>Manage written communications, brand, relationships, decision-making, and problem-solving on behalf of the CEO.</li>
<li>Represent the CEO in meetings with stakeholders.</li>
<li>Provide timely responses to correspondence and inquiries.</li>
<li>Facilitate project progress and problem-solving.</li>
<li>Establish and track departmental budgets.</li>
<li>Ensure communication between the CEO and the Board.</li>
<li>Manage board member orientation and corporate records.</li>
<li>Coordinate board meetings and activities.</li>
<li>Support the organization's strategic plan and Board engagement.</li>
<li>Contribute to the overall effectiveness of the Corporation.</li>
<li>Support Development operations and IT project management.</li>
<li>Maintain strong working relationships with external stakeholders.</li></ul>Administrative Support:<ul>
<li>Provide administrative support to ensure maximum efficiency and high performance.</li>
<li>Respond to correspondence and inquiries in a timely manner.</li>
<li>Prepare department correspondence and documents.</li>
<li>Support strategic projects and maintain databases.</li>
<li>Perform office tasks and assist with department activities.</li>
<li>Attend meetings and support team activities.</li>
<li>Implement procedures for safety, security, and quality assurance.</li>
<li>Collaborate in a diverse organization through equitable practices and an inclusive culture.</li>
<li>Promote positive public image and relations of the organization.</li>
<li>Perform other assigned duties as necessary.</li></ul>Qualifications and Knowledge, Skills, and Abilities:<br>
<br>Qualifications:<ul>
<li>+10 years of administrative assistant experience.</li>
<li>+5 years of experience supporting high-level executives and multiple staff members.</li>
<li>Experience working with multiple departments or stakeholders.</li></ul>Knowledge, Skills, and Abilities:<ul>
<li>Effective communication skills.</li>
<li>Attention to detail and accuracy.</li>
<li>Ability to maintain confidentiality.</li>
<li>Proficiency in technology and computer skills.</li>
<li>Ability to work with people from diverse backgrounds.</li>
