Overview




Provides highly complex administrative support to the Director of the Center including but not limited to: Grant Applications and Management, Accounting Functions, General Support for the Center, Outlook and Calendar Management. The Lead also has supervisory/HR responsibilities for the other departmental support staff.

Responsibilities




1. Grant Applications and Management:

Ability to read and interpret Program Announcements (PA) or Request for Application (RFA) in order to assist with grant submissions
Ability to read and interpret other grant instructions to assist PI in formatting and submitting grants to any and all institutions
Ability to find information in E-trac/Egrants and upload grant documents

2. Accounting Functions:

Ability to run, read, and interpret Lawson reports, calculate yearly salaries & fringe
Ability to independently find information
Understand and relay accounting policies for PI's
Ability to complete purchasing procedures/capital equipment/lab ordering/payment requests

3. General Support for the Center:

Ability to search and find journal articles via internet
Schedule, plan and type itineraries
Knowledge of the basic functionality of Microsoft Office, especially Outlook, as well as copier/fax/scanner
Ability to book travel - both booking and reimbursement/working with travel agent or scheduling online
Ability to order office supplies Lawson
Ability to update CV and faculty evaluation system (Chronus)
Scheduling and collaborating with other administrative assistants
Assist with manuscript submissions/instructions for authors/endnote/references
Knowledge of general HR policies

4. Outlook/Calendar Management:

* Ability to schedule update and cancel meeting requests

* Reserving conference rooms; order or work audio/visual equipment

5. General Leadership:

Oversees the daily operations of the Administrative Assistant staff including: - human resource functions, mentoring and training, performance evaluations, formulating and implementing departmental policies, and assigning new or additional responsibilities.
Collaborates across boundaries to improve communication and operations of the department.
Manages and/or delegates multiple projects simultaneously to ensure successful completion.
Creates and maintains various schedules including: administrative staff, medical professionals, clinical, and department responsibilities.


Qualifications




KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

High School Diploma or Equivalent; business-related or professional development coursework preferred.
3 - 5 years administrative experience, as well as 2 years of office management or supervisory experience preferred. Experience in a healthcare may be desired.
Skills in operating a personal computer. Must be familiar with various software packages (e.g., Word, Excel, PowerPoint).
Must complete Ambassador Program within first 12 months of employment.
