About the Job



Position Overview
This position is responsible for managing course scheduling and planning in the department of Family Social Science in the College of Education and Human Development. The position will also provide support primarily for the undergraduate and Parent and Family Education (PFE) programs. Job Responsibilities
Department Curriculum and Course Scheduling (35%)
* Manage the department's undergraduate and graduate course schedule, serving as the department's scheduling coordinator
* Receive, summarize, and disseminate scheduling information to help program directors and the department chair make strategic scheduling decisions that meet the needs of programs, faculty, and students
* Coordinate the course approval process with faculty and staff
* Serve as Coursedog, Collaborative Class Scheduling (CCS), and Astra manager for the department and ensure accurate course and program information are entered in University systems by deadlines
* Coordinate with the Office of Classroom Management (OCM) and schedule campus classrooms for department courses; troubleshoot classroom scheduling as needed
* Schedule courses in department classrooms
* Plan for, manage, and facilitate student requests and questions related to wait lists, permission number distribution, and direct enrollment in classes
* Provide oversight and resolution for course-related issues in Peoplesoft
* Provide course support including, but not limited to: solicit and maintain course syllabi, process textbook and exam copy orders, and assist in obtaining copyright permissions
* Maintain student records that include processing of grade entry and grade change approval as well as monitoring independent/directed study contracts
* Maintain historical curriculum records
* Attend College and University course scheduler meetings
* Provide input on policies related to course related operations in the department
Undergraduate Academic Program Support (35%)
* Partner with DUGS and department chair to support strategic priorities and initiatives that contribute to sustainable, long-term program growth and enrollment management in undergraduate programs
* Provide enrollment management reports, analyzing and monitoring current, future, and historical course enrollment data
* Create reporting and archiving strategies and tools that are easily usable and accessible to stakeholders
* Create and distribute the FSoS undergraduate newsletter in partnership with the department's undergraduate academic advisor
* Coordinate with department communications staff to maintain and edit undergraduate website information, communications, and materials to ensure alignment with department and CEHD requirements; liaison with CEHD alumni staff as needed
* Provide administrative support to the Undergraduate Program Committee
* Complete additional projects and work as assigned
Parent and Family Education (PFE) Program Support (25%)
* Create and distribute the PFE newsletter in partnership with the PFE academic advisor
* Coordinate with department communications staff to maintain and edit PFE website information, communications, and materials to ensure alignment with department and CEHD requirements; liaison with CEHD alumni staff as needed
* Monitor PFE email account and respond to or escalate inquiries
* Coordinate the annual review process
* Maintain student files - create, organize, and update as needed
* Create processes and documentation to monitor student requirements and course development
* Support the program awards process, including monitoring awardee academic progress, distributing letters, and maintaining student files
* Complete additional projects and work as assigned
* Provide support to other graduate minor programs as requested by the department chair
Events (5%)
* Lead operational support and administrative planning for the Undergraduate Showcase, Graduate Student Celebration, and other undergraduate or PFE events

Qualifications



Required Qualifications
* High School Diploma/GED and four years of related office and/or administrative experience. Training and education may be substituted for experience.
* Computer experience and skills with Google Workspace and Microsoft products.
* Ability to be customer-service focused and meet established guidelines for quantity, quality, and timeliness.
* Ability to collaborate effectively with people from a variety of communities, backgrounds, and identities.
Preferred Qualifications
* Proven ability to work both independently and collaboratively.
* Ability and willingness to learn or develop new systems and tools for continual process improvement.
* Ability to solve problems, organize workload, communicate with stakeholders, and manage multiple priorities.
