About the Job



The Manager of Sport Clubs assists with the management of all sport clubs activities. In a typical year, approximately 1,200 University of Minnesota students participate in these activities. This position works closely with the Sport Clubs Director, the Finance and Administrative team, and student staff to ensure that operations run smoothly while also having a strong commitment to the University's goal of creating a positive and inclusive campus climate by advancing equity and diversity. The responsibilities of this position occasionally require attendance at evening and weekend activities, games, and events. This position reports to the Director of Sport Clubs.
The application deadline for this position is Sunday, March 31, 2024. The starting salary range is $47,000 - $50,000.
Work Responsibilities:

Program Management and Supervision 60%
Guides and supervises the operations of individual sport clubs and supports student development by advising and mentoring the officers of each club on topics such as budgeting, scheduling, travel, activities, recruitment, leadership, risk management, event planning and implementation, and conduct.
Assists with the development, implementation, and enforcement of Sport Clubs operating policies, procedures, and standards.
Develops guides and other training materials and creates resources and training modules to communicate and explain complex procedures, policies, and related topics and leads informational and training sessions on procedures, policies, and related topics.
Works with marketing staff to manage website content and post regular updates of information.
Recruits, hires, trains, schedules, supervises and evaluates two student staff (Travel Assistant and Office Assistant).
Directs the re-registration process and serves as a liaison between clubs and Student Unions and Activities, including serving as the official University advisor for each sport club.
Supervises the work of Sport Clubs Advisory Council members, assisting in the administration of meetings, supporting the budget process, guiding the review of policies and procedures and club conduct issues.
Markets and promotes the program through collaborations with marketing and communications staff, including management of website content and regular updates of information.
Represents the University and the program with relevant national governing bodies and regional and national leagues.
Represents the department on committees as assigned. Attends department meetings and workshops.
Maintains membership in professional associations, serves on professional committees, and attends professional conferences.
Club Financial Operations 20%
Directs and leads the development of individual sport club budgets through a comprehensive annual budget preparation process in preparation for the request for and allocation of student service fees.
Oversees the general management of each club's operating budget, including operational budgets in EFS and University Foundations accounts; hosts monthly account review meetings with student club officers to plan and review revenues and expenditures; assists student sport club officers with all financial planning.
Plans and manages all program purchasing operations; oversees regular and detailed account reconciliation & manages a shadow system of the University Financial System to ensure account accuracy.
Ensures compliance of all financial activity to University regulations.
Club Travel Management 20%
Manages all components of sport clubs travel including vehicles rented from University Fleet Services or outside rental agencies, group airline reservations, contract management, and adherence to University travel policies.
Develops and updates all program travel/vehicle policies and procedures and monitors adherence to University travel policies.
Directs student travel assistant who collects and manages all required travel requests and paperwork, ensures driver eligibility according to program standards, and approves off campus club travel.
Works closely with Fleet Services staff to ensure rental vehicles are inspected and regularly maintained.
Validates and reconciles all rental vehicle billing.

Qualifications



Required:
BA/BS plus at least four (4) years of experience or a combination of related education and work experience to equal at least eight (8) years.

Preferred:
Ability to multi-task in a fast-paced environment and deal with interruptions.
Detail-oriented with the ability to think ahead and plan in advance.
Excellent communication skills and the ability to collaborate with diverse groups of people.
Demonstrated experience with advising/mentoring/coaching.
Excellent organizational skills

About the Department



Recreation & Wellness is a department within the Office of the Vice President of Student Affairs (OSA) at the University of Minnesota. We offer hundreds of recreation, exercise, and sport opportunities for the University community and operate the University Recreation and Wellness Center, University Aquatic Center, University Fieldhouse, St. Paul Gymnasium, Student Recreational Sports Fields and Dome, West Bank Fields, St. Paul Soccer Fields, St. Paul Tennis Courts, and Les Bolstad University Golf Course. Amenities in University Recreation and Wellness indoor facilities include fourteen handball/racquetball courts, eleven squash courts, ten multi-use rooms and studios, six gymnasiums, five swimming pools, three indoor running tracks, and two rock climbing walls. The facilities also offer more than 500 treadmills, exercise bikes, elliptical trainers, weight machines, and other pieces of exercise equipment. University Recreation & Wellness is funded by student fees and revenue generated by the department.

The department workforce is approximately 50 full-time staff and 575 student employees.
